At EcoEcho Tours, we understand plans can change. This Cancellation Policy explains how and when you can cancel your booking, what happens with refunds, and how we handle unexpected circumstances. It applies to all tours booked directly with us and forms part of our Terms and Conditions.
1. Free Cancellation Window (Small Group and Scheduled Tours)
You can cancel your booking free of charge up to 24 hours before the scheduled start time of your tour.
- Cancellations received more than 24 hours before the tour: 100% refund.
- Cancellations received less than 24 hours before the tour: non-refundable.
- No-shows and late arrivals (more than 15 minutes after the stated start time, without prior notice) are treated as a cancellation inside the 24-hour window and are non-refundable.
The 24-hour window is measured in Central European Time (Amsterdam local time), based on the tour start time shown in your booking confirmation.
2. How to Cancel
To cancel your booking, please do one of the following:
- Reply to your booking confirmation email, or
- Email us at info@ecoechotours.com with your booking reference, or
- Call or WhatsApp us at +31 6 18 94 86 06.
A cancellation is only valid once you receive a written confirmation from our team. Messages sent through social media or unofficial channels are not sufficient on their own.
3. Refund Processing
Approved refunds are returned to the original payment method within 5 to 10 business days of confirmation. Depending on your bank or card provider, the amount may take a few extra days to appear on your statement. Transaction fees charged by third-party platforms (for example, GetYourGuide, Viator, Tripadvisor, Airbnb Experiences, FareHarbor) follow that platform’s own terms and may not be refundable by us.
4. Private Tours, Groups and Corporate Bookings
Because private, group, and corporate bookings block out a guide well in advance, different cancellation terms apply and will be confirmed in writing at the time of booking. Unless agreed otherwise:
- Cancellations more than 14 days before the tour: 100% refund.
- Cancellations 7 to 14 days before the tour: 50% refund.
- Cancellations less than 7 days before the tour: non-refundable.
For corporate, school, or multi-day bookings above €1,000, a deposit of up to 30% may apply and becomes non-refundable after confirmation, unless the tour is cancelled by us.
5. Rescheduling
We are happy to reschedule your tour to another available date free of charge if you contact us at least 24 hours before the original start time (or 14 days before, for private, group, and corporate bookings). Rescheduling is subject to availability and applies only to bookings made directly with EcoEcho Tours. For bookings made through third-party platforms, please contact the platform first.
6. Cancellations by EcoEcho Tours
We reserve the right to cancel a tour when circumstances make the experience unsafe or impossible to deliver, including but not limited to:
- Severe weather (heavy storms, flooding, hazardous cycling conditions),
- Strikes, transport disruption, or road closures affecting key tour locations,
- Venue closures (for example, Keukenhof, Zaanse Schans, or Giethoorn access),
- Guide illness where no substitute is available,
- Force majeure events (see section 8).
If we cancel a tour, you will receive one of the following, at your choice:
- A full refund to your original payment method,
- The option to reschedule to another date at no extra cost, or
- A credit voucher valid for 12 months.
We are not responsible for any secondary costs you may incur (flights, hotels, transfers, other tours). We strongly recommend arranging comprehensive travel insurance.
7. Weather Policy
Amsterdam weather can be unpredictable. Light rain or wind on its own is not a reason for cancellation, and our bike, walking, and boat tours run in most conditions. We provide ponchos when needed and suggest waterproof clothing in advance. A tour is only cancelled by us when safety is genuinely at risk.
8. Force Majeure
Neither party is liable for cancellation or delays caused by events outside reasonable control, including natural disasters, pandemics, epidemics, government restrictions, acts of terrorism, war, or national emergencies. In these cases, we will offer a reschedule or credit voucher where possible.
9. Third-Party Bookings
If you booked your tour through a third-party platform (for example, GetYourGuide, Viator, Tripadvisor, Airbnb Experiences, or FareHarbor), the cancellation terms of that platform apply in addition to ours, and refunds must usually be requested through that platform.
10. Consumer Rights
Nothing in this policy limits any statutory consumer rights you may have under Dutch or EU law, including the Dutch Civil Code and applicable package-travel regulations where they apply.
